Introduction
ProScan Radiology ("ProScan", "we", "us", "our") is a diagnostic imaging practice providing MRI, CT, X-ray, ultrasound, DEXA and body composition, dental (OPG/Cone Beam CT), and related imaging and screening services in Point Cook, Victoria.
As a provider of health services, we are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), as well as Victoria's Health Records Act 2001 and its Health Privacy Principles, which govern how we collect, hold, use and disclose personal and health information in Victoria.
This Privacy Policy explains what information we collect, why we collect it, how we use and disclose it, and how you can access, correct, or raise concerns about the information we hold about you.
Information We Collect
To provide you with safe and accurate diagnostic imaging services, we may collect:
- Identifying information: full name, date of birth, address, contact details, Medicare number, health fund/insurance details, and (where relevant) Individual Healthcare Identifier
- Referral information: the referring practitioner's details and the clinical question or indication for your scan
- Health information: your medical history relevant to the requested imaging (e.g. allergies, previous surgery, contrast reactions, pregnancy status, kidney function, implanted devices)
- Imaging data: the scans, images and reports generated during your visit
- Billing information: Medicare, DVA, health fund, or payment details relevant to invoicing and rebates
We collect this information directly from you, from your referring practitioner, and — with your consent or as otherwise permitted by law — from other treating practitioners or previous imaging providers where relevant to your care (for example, obtaining prior imaging for comparison).
Why We Collect, Hold and Use Your Information
We collect and use your personal and health information primarily to:
- Perform the requested imaging safely and accurately
- Prepare and provide a report to your referring practitioner
- Process Medicare, DVA and health fund claims and billing
- Maintain accurate clinical records for your ongoing care
- Meet our legal, accreditation and professional obligations (including under the Diagnostic Imaging Accreditation Scheme)
We do not use your health information for direct marketing without your consent, and we do not sell your personal information to any third party.
Disclosure of Your Information
We disclose your information only as necessary to provide your care or as required by law, including to:
- Your referring practitioner and any other treating practitioners involved in your care, with your consent implied by the referral
- Medicare, DVA, and your private health fund, for billing and claiming purposes
- My Health Record, where applicable and in accordance with your My Health Record participation and access settings
- Accrediting and regulatory bodies, where required for practice accreditation or as required by law
- Third-party service providers who support our operations (for example, secure image storage or reporting systems), who are contractually required to protect your information and use it only for the purpose we specify
We do not disclose your health information to any party for advertising or marketing purposes, and we do not provide patient testimonials or case details in any marketing material without separate, specific, written consent.
Data Quality and Security
We take reasonable steps to ensure the personal information we hold is accurate, complete and up to date, and we encourage you to let us know if any of your details change.
We store your information securely and take reasonable steps to protect it from misuse, interference, loss, unauthorised access, modification or disclosure, including through access controls, secure electronic storage, and staff confidentiality obligations.
Access to and Correction of Your Information
You have a right to request access to the personal and health information we hold about you, and to request correction if you believe it is inaccurate, out of date, or incomplete. In most cases we will provide access directly; in some circumstances permitted by law (for example, where access may pose a risk to your health and safety) we may arrange for a treating practitioner to explain the information to you instead.

We may ask you to verify your identity before providing access to your records, and we may charge a reasonable fee to cover the cost of retrieving and providing copies of imaging or reports, in line with applicable regulations.
Data Breaches
If we become aware of a data breach that is likely to result in serious harm to you, we will act promptly to assess the breach and, where required under the Privacy Act's Notifiable Data Breaches scheme, notify you and the Office of the Australian Information Commissioner (OAIC) as soon as reasonably practicable.
